Answered, logged, handed over
A phone ringing into voicemail is a lead leaving quietly, and by the time somebody calls back the context has usually gone with it. What I ship instead is a line that greets, qualifies, writes to your CRM and puts a hold in the calendar, then hands the call to a person the moment it stops being routine. Scrub a tape below and hear a missed call become a booking that is waiting when you get back to your desk.
Before you play
Three things to know first
Not a fake human
Callers are told in the greeting that they are speaking with an agent. I have turned work down over this, because a caller who works it out on their own later stops trusting the business, and only afterwards the software.
No trail, no ship
Every call leaves a record you can open a week later: what was asked, which tools were touched, what was promised, and the exact point at which a person took the call over.
The handover is the point
The moment worth watching is where the line stops and hands off to a person, because a voice agent is only as good as the instant it knows it is out of its depth.
Call Tape
Play the call. Scrub to escalate.
Five sample tapes, built from the rings that most reliably go unanswered in a small business. Yours will look different, and whichever ring you miss most is usually the first line I build.

Greet
Hi, you’re speaking with the booking line for Alex V. Nita.
- CRM note
- Calendar hold
- Email confirm

Play the tape — or scrub to the escalate mark on hot calls.
After the tape
Your line comes first.
Every voice engagement starts from the rings you are already losing, whether that is the booking line at lunchtime, the evening nobody covers, or the caller who needs a human inside thirty seconds. I wire the number, the CRM, the calendar, and the condition on which the whole thing stops and fetches somebody.
How it gets built
What makes it a voice agent
There are five parts to it, and a line missing any one of them is a recording with better manners.
Line
A number you already own, or a SIP trunk, with a greeting that says plainly that an agent is answering.
Script and tools
The greeting, the qualifying questions, and the systems it may touch, each one limited to this job and to nothing wider than this job.
Escalate
A named condition and a named person. When confidence drops or the stakes rise, the call is warm-transferred with everything the agent has already gathered.
Trail
A log you can replay afterwards, so a disputed promise becomes a question of reading the record instead of a question of whose memory is better.
Handover
The person picks up with the context already in front of them, which is the difference between taking over a call and starting one from nothing.
FAQ
Questions I get about voice
What is Call Tape?
An interactive sample of five voice-agent call timelines. You play or scrub a tape, watch the markers fire (greet, qualify, book, escalate) and read the trail underneath it. Every tape illustrates the pattern; none of them is a recording of anyone's call.
Do you only build these five call types?
No. The five are the ones I am asked for most often, and any line starts from the rings you are actually losing, whether that is booking, out of hours, escalation, qualification, rescheduling, or a job none of those describes.
Will the agent pretend to be human?
Never. Callers are told in the greeting that they are speaking with an agent, and a brief that asks for the opposite is one I turn down. The trick works exactly once, and what it costs you is the trust of the caller who worked it out.
What happens when the agent gets it wrong?
It stops. Every line carries a confidence threshold and a named person behind it, so a call that drifts outside what it was given to do becomes a handover to a person with the context attached, instead of a loop the caller has to escape.
How do you handle compliance?
Transparency, a record you can read back, and points where a person still decides ship with the line itself. Where the law is the question and the system is only the setting, I say so and we bring in a lawyer. Legal opinions are not mine to give, and this practice runs no Data Protection Officer.
How long does a first voice agent take?
Usually 4 to 6 weeks for one production line, after a short discovery that establishes what the call actually has to do. The number and the date are fixed in writing first, which is what makes that timeline a commitment and never an estimate that drifts.
